Job Description:
Title- Front Office Team Member
Reports to- Front Office Supervisor
Roles:
This position is responsible for the operations of phone operator, front desk check-in and front desk check-out positions and functions. This position will eventually encompass a rotation-based schedule to each of the three positions, fostering a wide breadth of knowledge in the front office operations and creating a change in role/environment on a frequent basis to allow for variety to your schedule.
In the phone operator position, using a computerized system, all calls during business hours are answered and routed to the appropriate function and person. Many calls are typically completed in less than 30 seconds and upwards of 400 calls per day may be answered and routed. For calls for the medical team, an electronic message is created and routed to the applicable clinical team member. In periods of high call volume, support team members assist in maintaining high levels of service by answering excess calls. Additionally, this position provides the mail function in outgoing and incoming mail distribution. Other duties include scanning and routing of patient paperwork into the electronic medical record.
The check-in position is responsible for the check-in of patients for appointments, collection of patients’ shares of costs, demographic updates and the efficient flow of patients into our practice. This position must present a positive first impression and is the initial face to face contact with our patients. The patient information input into the practice system is critical to patient care and insurance billing.
The check-out position is responsible for checking out of patients and scheduling follow up appointments, helping manage schedule for no shows or cancellations, and works with the hospitals to send patient medical information in a timely manner.
Operations:
· Answers, screens, and routes outside calls
· Supplies information to callers
· Creates and routes electronic messages
· Determines priority of messages for runners based on key medical flags.
· Responsible for sorting mail, keeping money in the postage machine, and running mail through postage meter
· Looks up patients’ appointments in the computer
· Files patient information electronically in our EMR system/performs scanning duties
· Greets patients warmly as they walk into the practice.
· Checks patient in and collects the appropriate share of costs, (Copay, deductible, self-pay)
· Enter patient information into EMR including demographic and insurance information
· Helps manage appointment no-shows, reschedules, or cancellations
· Works with Medical Assistants to inform patient of schedule updates (late times or doctors call out).
· Reconciles receipts to daily batches and maintains an accurate cash drawer
· Scans and index documents to patient system
· Check out patients and schedule appointments.
· Support the medical records function with scanning and indexing of documents.
· Other duties as assigned

Qualifications: Must have strong computers skills. Must have the ability to create a patient-friendly environment that displays professionalism, compassion, and caring. Must have high school diploma or equivalent. Must successfully complete a background check and drug screening. All new employees must be fully vaccinated against COVID-19. Job Type: Full time, hours are Mon-Fri 7:45a-5:00p Salary: starting at $14.77/hr and top out for this job at $20.68/hr. Upper end of range reserved for candidates with extensive experience or longevity with OB/GYN Associates.
