We are looking for an enthusiastic Administrative Events Coordinator (AEC)/ Administrative Assistant to join our team. The AEC performs a variety of skilled administrative, clerical and organizational support work for the F&B department. Working closely with the owner- they will manage daily/weekly/monthly activity related to the Events department, as well as F&B services for a casual, upscale yacht club restaurant and club events. The ideal candidate radiates enthusiasm about providing an exceptional guest service and has the “whatever it takes” to get the job done attitude.

The Administrative Events Coordinator is an energetic and positive person who can focus on details without losing the big picture. The AEC fosters teamwork, excellent guest service and individual accountability. Working independently to perform a wide range of complex tasks this position also requires the ability to work in a team setting.
Additionally, the ideal candidate will also:
· Be a self-starter who thinks one step ahead and demonstrates initiative
· Work efficiently to manage events and event staff
· Demonstrate hustle while working the BEO and event contract
· Keep to event & planning timelines and calendars
· Apply a degree of financial skill to staying within the allocated budget for events
· Create accurate reports, calendars, and schedules
· Analyze and solve problems with flexibility in the moment
· Maintain composure under pressure & manage and delegate with confidence
· Manage multiple projects with overlapping deadlines
· Knows / will learn the logistics to properly plan the details for a successful event
Responsibilities & Tasks
· Help plan & coordinate ‘Day of’ logistics
· Assist w/ executing and overseeing the correct set-up and breakdown of events
· Work closely w/ Event Coordinator & Chef to cost and finalize the event
· Serve as primary contact to guide, lead, and support banquet staff
· Prepare catering files, including detailed proposals, event contracts & BEOs
· Gather & record detailed information to design and document boutique events.
· Promptly return calls & emails on behalf of the owner
· Maintain communication with the event organizer throughout process
· Obtain & coordinate guaranteed counts/details for all events & communicate this information with the catering team
· Function as the Manager on Duty in the absence of the management team
· Perform other related duties and participate in special projects as assigned.
· Record and analyze historical data for assigned events, including attendance, post-event feedback and evaluation.
Qualifications/ Requirements High school diploma or equivalent + some college (preferred)
Two years’ hospitality experience & some office experience (Highly desirable but not required)
Relevant Experience in F&B / Event Planning (Helpful but not required as we will train the right person)
Desire to work in a fast-paced environment
Strong knowledge of Microsoft Suites including Excel
Excellent organizational, communication (verbal / written /listening /presentation), time-management, and interpersonal skills
Flexibility to work variety of am/pm, evenings, weekends, and holidays
Ability to work independently with little supervision and as part of a team
Ability to work long, physically demanding days including set-up/tear-down/clean-up of banquets
Valid Driver’s License & reliable transportation
Proof of COVID vaccination or weekly testing required
This position and compensation will evolve with the candidate based on their abilities, attitude, work ethic and accomplishments.
Job Types: Full-time, Part-time, Internship
Pay: $16.00 – $22.00 per hour
